Changes, Cancellations & Refund Policy

Mayari Private Travel ("Mayari," "we," "us," or "our") provides professional travel planning, management and coordination services and arranges travel and related services through independent third-party suppliers.
Travel arrangements are often subject to supplier-specific terms and conditions. Accordingly, changes, cancellations and refunds depend on the type of service booked, the applicable supplier terms, and the conditions communicated to the client at the time of booking.
1. Changes to Travel Arrangements
We understand that travel plans may change. Clients should contact Mayari as soon as possible if they wish to modify a confirmed arrangement.
Changes may include, but are not limited to:
- Travel dates or duration;
- Flights or transportation;
- Hotels, resorts or villas;
- Room or accommodation categories;
- Traveler names or details, where permitted;
- Experiences, private guides or excursions;
- Dining and wellness arrangements; and
- Other elements of an itinerary.
All changes are subject to availability and the terms and conditions of the applicable third-party supplier.
Changes may result in additional costs, including fare or rate differences, supplier amendment fees, cancellation and rebooking charges, or other costs imposed by the relevant supplier.
Where a requested change substantially alters the original journey and requires significant additional planning, research or itinerary redesign, Mayari may charge an additional professional service fee. Any such fee will be communicated to the client before the additional work is undertaken.
No requested change is considered confirmed until Mayari and/or the relevant supplier has provided confirmation.
2. Cancellations
Clients wishing to cancel a confirmed arrangement should notify Mayari as soon as possible at travel@mayariprivate.com.
Cancellation terms vary by supplier and booking type. Depending on the conditions applicable to the reservation, a booking may be:
- Fully refundable if cancelled within a specified period;
- Partially refundable;
- Subject to a cancellation penalty; or
- Non-refundable.
Mayari will communicate or make available the relevant cancellation conditions before confirmation where reasonably practicable.
A cancellation request submitted to Mayari does not itself constitute a completed cancellation. Cancellation is considered effective only after it has been acknowledged by Mayari and, where applicable, confirmed by the relevant supplier.
3. Mayari Professional Service Fees
Mayari may charge professional fees in connection with its Annual Private Travel Office, Bespoke Travel, Signature Journeys, travel planning, management, concierge and other agreed services.
These fees compensate Mayari for professional time, expertise, research, planning, coordination, administration and ongoing management.
Unless otherwise stated in a specific service agreement, proposal or written confirmation, Mayari professional service fees are non-refundable once Mayari has commenced providing the applicable service, except where otherwise required by applicable law.
Where an engagement has specific cancellation or refund terms, including an Annual Private Travel Office arrangement, the terms contained in the applicable service agreement will apply.
4. Third-Party Supplier Payments
Travel and related arrangements provided by third parties are governed by the applicable supplier's own terms and conditions.
This may include payments made for:
- Hotels, resorts and private villas;
- Airlines;
- Private aviation;
- Rail travel;
- Cruises and expedition voyages;
- Ground transportation and chauffeur services;
- Tours, private guides and experiences;
- Restaurants and dining arrangements;
- Wellness services; and
- Other third-party travel or destination services.
Supplier deposits, cancellation penalties, amendment fees and non-refundable charges remain subject to the applicable supplier's policies.
By authorizing Mayari to confirm a booking, the client acknowledges and accepts the cancellation, amendment and refund conditions communicated in connection with that booking.
5. Refunds
Where a booking is eligible for a refund under the applicable supplier's terms, Mayari will reasonably assist the client in requesting and following up on the refund.
The amount and processing time of a third-party supplier refund are determined by the supplier and may also depend on the payment processor, acquiring bank, card network and client's card issuer or financial institution.
Mayari cannot guarantee the timing of refunds that are processed or controlled by third parties.
Where an approved refund is payable directly by Mayari, it will generally be returned to the original payment method where possible.
Any applicable non-refundable amounts, supplier penalties or previously disclosed fees may be deducted from the refund.
6. Non-Refundable Bookings
Certain travel arrangements may be offered at preferential or restricted rates that are partially or entirely non-refundable.
Where a client authorizes a booking after being informed that it is non-refundable, cancellation does not automatically entitle the client to a refund.
At the client's request, Mayari may approach the supplier to seek an exception, travel credit, date change or other accommodation. However, any exception remains entirely at the discretion of the applicable supplier and cannot be guaranteed by Mayari.
7. Supplier Changes or Cancellations
Airlines, hotels and other travel suppliers may occasionally change or cancel confirmed services.
Where a supplier cancels or materially changes an arrangement, Mayari will reasonably assist the client in identifying available alternatives, rebooking options, travel credits or refunds.
Any refund, credit or compensation offered will generally be determined by the supplier's terms and applicable law.
Mayari is not responsible for a supplier's decision to modify or cancel its service, but will provide reasonable assistance within the scope of the client's engagement.
8. Travel Disruptions and Events Beyond Our Control
Travel may be affected by circumstances outside Mayari's reasonable control, including severe weather, natural disasters, strikes, civil disturbances, government actions, border restrictions, public health events, transportation disruptions and other force majeure events.
Where such circumstances affect a client's journey, Mayari will reasonably assist with changes, cancellations and alternative arrangements.
Refunds, credits or compensation in these circumstances remain subject to the applicable supplier's terms and applicable law.
9. No-Shows and Unused Services
Failure to arrive, check in, board or otherwise use a confirmed travel service may be treated as a no-show by the applicable supplier.
No-shows may result in the loss of some or all amounts paid.
Services voluntarily unused by the client after travel has commenced are not automatically eligible for a refund and remain subject to the applicable supplier's terms.
10. Refunds to Original Payment Method
Where possible, approved refunds will be returned through the same payment method used for the original transaction.
Clients should allow reasonable processing time after a refund has been approved. The time required for funds to appear in the client's account may vary depending on the supplier, payment processor, bank or card issuer.
Mayari is not responsible for delays caused by financial institutions or third-party payment processors after an approved refund has been submitted for processing.
11. Payment Disputes
If a client believes a payment was charged incorrectly, duplicated, processed without authorization, or otherwise requires investigation, the client should contact Mayari promptly at travel@mayariprivate.com.
Mayari will review the transaction and, where applicable, coordinate with the relevant supplier and/or payment processor in an effort to resolve the matter.
Nothing in this Policy limits any rights available to a client under applicable Philippine law or applicable card-network rules.
12. Physical Returns
Mayari primarily provides professional services and coordinates travel arrangements rather than selling physical merchandise. Therefore, conventional product returns generally do not apply.
If Mayari offers physical goods in the future, the applicable return and refund conditions will be disclosed before purchase.
